Terms of Service

These terms govern your use of Smart Hostel Pilot. Please read them carefully — they cover how the platform may be used, how payments work, and each party's responsibilities.
1. Acceptance of terms
By creating an account or using Smart Hostel Pilot ("Platform"), you agree to these Terms of Service. If you are creating an account on behalf of a hostel or organization, you confirm you have the authority to bind that organization to these terms.
2. What the platform is
Smart Hostel Pilot is operations software for hostel admissions, room allocation, attendance, leave and gate-pass management, safety alerting (SOS and incidents), fee invoicing, and communication. It is not an emergency service, security agency, or substitute for a hostel's own safety personnel and protocols.
3. Organization responsibilities
Organizations are responsible for the accuracy of resident, guardian, and staff records entered into the Platform, for obtaining any consents required to process that data, and for maintaining their own emergency response procedures — the Platform supports and logs safety workflows but does not replace an on-site safety plan.
Organizations must promptly deactivate accounts for staff who leave, and are responsible for actions taken under their staff's accounts.
4. Acceptable use
You agree not to: use the Platform for any unlawful purpose; attempt to access data belonging to another Organization; circumvent rate limits, authentication, or access controls; upload malicious code; or use SOS/emergency features for anything other than genuine safety needs.
5. Payments and billing
Subscription fees for paid plans are billed per hostel, in advance, on a monthly or annual cycle as selected at signup. Fees are exclusive of applicable taxes (e.g., GST), which will be added where required.
Resident fee payments collected via UPI QR settle directly into the Organization's own bank account; Smart Hostel Pilot is not a party to, and does not process or hold funds from, those transactions. Where an Organization enables online checkout via our payment gateway partner, that partner's fees and terms apply separately.
We may suspend access for accounts with overdue subscription payments after reasonable notice.
6. Data ownership
Organizations own the data they input into the Platform (resident records, attendance, invoices, etc.). We process that data solely to provide the service, as described in our Privacy Policy, and will make an Organization's data available for export on reasonable request.
7. Availability and support
We aim for high availability but do not guarantee uninterrupted access. Planned maintenance will be communicated in advance where practical. Support is provided via the channels and hours described on our Contact and Pricing pages for your plan tier.
8. Limitation of liability
The Platform is provided on an "as is" basis. To the maximum extent permitted by law, Smart Hostel Pilot is not liable for indirect, incidental, or consequential damages arising from use of the Platform, including delays or failures in safety alerting caused by factors outside our reasonable control (network outages, third-party service failures, or user error).
Nothing in these terms limits liability for gross negligence, willful misconduct, or any liability that cannot be excluded under applicable Indian law.
9. Termination
Organizations may cancel their subscription at any time from account settings; access continues until the end of the current billing period. We may suspend or terminate accounts that violate these terms, with notice where reasonably possible.
10. Governing law
These terms are governed by the laws of India. Any disputes will be subject to the exclusive jurisdiction of the courts of Bengaluru, Karnataka.
11. Changes to these terms
We may update these terms from time to time. Continued use of the Platform after changes take effect constitutes acceptance of the revised terms.
